Trade show booth checklist for Las Vegas shows in 2027

Plan your Las Vegas booth gear around confirmed show dates, the right display kit and PromoMogul's production and shipping windows after proof approval.

Start your trade show booth checklist with the day you need everything in hand. That may be before you leave for Las Vegas, before booth setup or before a freight receiving deadline. Write it down alongside the show dates, then choose the displays and staff items you need.

Production starts after you approve the artwork proof. Placing an order does not start the delivery clock. Your plan needs room for artwork preparation and proof review before the published production and shipping windows. This checklist connects those steps to Las Vegas shows in 2027 so you can order with a clear arrival target.

Confirm your show and receiving plan

These exhibit dates and venues are listed by the organizers:

  • World of Concrete: January 19 to 21, 2027, at the Las Vegas Convention Center.
  • MAGIC Las Vegas: February 16 to 18, 2027, at the Las Vegas Convention Center.
  • ISC West: exhibit hall dates April 7 to 9, 2027, at The Venetian Expo.

Use exhibit hall dates when planning your booth, and check any earlier setup or travel requirements separately. Recheck the organizer's schedule before finalizing arrangements.

The trade show deadlines page targets arrival three business days before the show. Its proof approval dates for these shows are:

ShowDisplays: approve byHats: approve by
World of ConcreteDecember 29, 2026December 14, 2026
MAGIC Las VegasJanuary 27, 2027January 12, 2027
ISC WestMarch 19, 2027March 5, 2027

These are planning dates from PromoMogul's published windows, with the hat deadline using the longer hat window. They are not the show's freight deadlines. Check your exhibitor kit for advance warehouse and freight requirements, then move your arrival target earlier if needed. Confirm the receiving address and who will accept the boxes before ordering.

Choose the pieces your booth needs

Start with booth kits, then compare the pieces with your assigned space and furniture:

  • Indoor Starter: a 6 ft fitted table cover and a 33 inch roll up banner stand.
  • Trade Show Booth: an 8 ft stretch table cover, a 10 ft tension fabric pop up backdrop and a 33 inch roll up banner stand.
  • Outdoor Market: a 10x10 ft canopy tent, a 6 ft fitted table cover and a 9 ft feather flag. Side walls are sold separately; discuss the ground surface so the quote can include suitable anchoring and a flag base.

Use these as starting combinations. Measure the actual table before choosing its cover, and confirm the backdrop fits the booth. Check permission and height clearance before adding a canopy or flag.

For an indoor booth, consider a tension fabric pop up backdrop behind your display and a roll up banner stand for the main message. Put your logo and short headline where visitors can see them without moving products. Add staff hats to the order list early if you want them for the show.

Work backward through production and shipping

For tents, flags, backdrops, banner stands and table covers, the site lists printing at 1 to 2 business days after proof approval, followed by 5 to 7 business days of FedEx Ground transit. Displays ship within 2 business days of approval, and most arrive within 10 business days of approval. Shipping is included to the US lower 48.

Hats have a separate schedule. Most hat orders have 5 to 8 business days for embroidery and print, followed by 2 to 5 business days for shipping. Most arrive within 15 business days of proof approval.

Camper, 6 panel baseball and visor hats use the longer window: 10 to 13 business days for production, then 2 to 5 business days for shipping, with most arriving within 20 business days of approval. Choose the style before calculating your deadline.

Use the buffered arrival promise when planning, rather than assuming the shortest production and transit times. Leave room before proof approval for revisions. If the schedule is tight, ask before ordering. Faster shipping is available for an extra charge quoted for your event date; do not assume it is included.

Prepare and approve the artwork

Gather the logo, colors, wording and selected products in one place. PromoMogul accepts AI, EPS, PDF, SVG and high resolution PNG files at 300 DPI or higher. For artwork assistance, send a logo, colors and a rough idea for a mockup.

Every order includes a digital proof, and nothing prints until you approve it. Check spelling, product sizes, colors and each printed face. Have the person responsible for the final wording review it before approval. Keep that review step visible on your calendar instead of treating the order date as the deadline.

Check the gear before packing

When the boxes arrive, compare the contents with your order and approved proof. Practice the setup, check the hardware and bags, and keep the pieces for each display together. Pack your artwork reference, booth assignment and receiving details with your event notes.

Finish your checklist with the products, quantities, artwork status, delivery address and required arrival date. Request a booth quote with that information and your Las Vegas show name so you can confirm the product mix and timing before ordering.
