Holiday Market Booth Checklist: What to Bring
Plan your holiday market setup from the ground up: indoor table covers and banner stands, outdoor canopy tents and weights, clear signs and a packing list you can reuse.

Your holiday market packing list starts with the space you have booked. A table inside a hall needs a different setup from a tent on an outdoor lot. Before you pack stock or choose a display, check your market's vendor rules and confirm what is included with your space.
Build your checklist around four jobs: setting up the booth, showing your work, taking a sale and packing everything away. You can keep the same list for the next event and change the parts that depend on the location.
Confirm the basics before you order
Write down your booth dimensions, setup access, arrival time and the table size. Ask whether you need to bring a table and chair, and confirm power arrangements if your display or payment setup depends on them. Save the event instructions where you can find them without a connection.
Check your market's vendor rules for signs, display height, tent requirements, weights, lighting and any food or product demonstrations you plan. Do not assume the requirements from your last market apply to this one. If a detail is unclear, ask the organizer before buying or packing around it.
Sketch your setup with the stock and fixtures in place. Leave yourself a way to reach packing materials and spare inventory without taking the whole display apart. Keep your booth equipment inside the space you have been assigned.
For an indoor market: finish the table first
A fitted table cover gives you a tailored table front. Choose the open back if you want access from behind, or the closed back for a table that people can see from all sides. Confirm the table measurements rather than choosing by length alone.
If you prefer a snug shape, stretch table covers come with a closed back or a zipper back. Both fitted and stretch styles have 4 ft, 6 ft and 8 ft options. They include the cover only, so put the table itself on your checklist when you need to bring one.
A roll up banner stand can carry your name behind the table while you keep the top clear for your work. The stand, printed banner and travel bag are included. These stands are sold for indoor use, so plan them for the hall rather than as an outdoor sign.
Try the layout at home with your actual stock. If your sign disappears behind a rack or a stack of boxes, move it before market morning. Keep the most useful information visible from the direction shoppers will approach.
For an outdoor market: pack the tent and weights
Start with a canopy that fits the space you have confirmed. The Custom Canopy Tent 10 x 10 offers a Frame + Canopy package, a printed canopy only or a frame only. Choose the complete package if you need both parts, and check compatibility before ordering a canopy for a frame you already own.
Put tent weights or sandbags on your packing list, then check your market's vendor rules for the required type and amount. The tent page offers sandbags and ropes and stakes as optional additions. Secure the frame outdoors according to the setup guidance and the event requirements. Take the tent down in strong wind.
The canopy is weather resistant, not sold as waterproof. Plan suitable protection for your stock and packing materials rather than treating the tent as a promise that everything underneath will stay dry. Let the canopy dry completely before you pack it away.
If you add walls, include their hardware in the same bag as your setup list. Canopy Tent Walls and Hardware lists full walls, a half wall and its support pole. The walls are made for PromoMogul frames, so check measurements before using them with another frame.
Make the signs useful
Give your business name a clear place on the booth. Then use smaller signs for the details someone needs when looking at your work: what an item is, its size or options, and how to ask about it. Keep the wording short enough to read without picking up the sign.
Repeat your colors and logo across the table cover, canopy or indoor banner. Seasonal props can sit alongside your regular branding, so you can use the printed pieces again after the holiday market. Check that your decorations do not hide the name on the front of the table.
Every order includes a free digital proof before printing. Review names, spelling and the placement of important text before you approve it. If you are using a web address or a QR code in your artwork, check the destination yourself before sending the final design.
Your booth and display packing list
- Structure: table, chair if needed, table cover and your indoor banner stand or outdoor canopy.
- Outdoor setup: weights or sandbags, any permitted anchoring equipment, walls and their matching hardware.
- Display: racks, risers, trays, item labels, business sign and secure supports for each piece.
- Inventory: counted stock, spare items and a simple list of what you brought.
- Packing: protective wrapping, bags, boxes, labels and a separate container for used materials.
Keep a small box for the things that disappear into larger bags: clips, pens, cloths and spare labels. Label your display containers so someone helping you can find the right piece without unpacking everything.
Your sales and personal packing list
- Sales setup: your payment device, charger, permitted power accessories and whatever your chosen payment method needs.
- Records: stock sheet, notebook, pens and a way to record special requests accurately.
- Customer materials: care cards, business cards and your current product information.
- Personal basics: water, a snack, weather appropriate clothing and any essentials you need during the day.
- Event details: confirmation, organizer contact information, parking instructions and the market rules.
Test the devices you plan to use before leaving. Charge them and know what you will do if your usual connection is unavailable. Keep personal belongings separate from the stock you need to reach throughout the event.
Practice once, then pack in setup order
Assemble the whole booth before market day. Check that the cover fits, the signs are visible and every display piece has its support. Pack the structure where you can reach it first, then the graphics, fixtures and stock.
Browse booth kits if you want a starting point for coordinated pieces. Choose for your confirmed space and keep the checklist with the packed gear, ready to use again.
